Welcome to SmartPrep ("we", "our", "us"). SmartPrep is an AI-powered educational application designed to help parents support their children's learning journey. We are committed to protecting the privacy and security of our users, especially the personal information of children. This Privacy Policy explains how we collect, use, store, share, and protect information when you use our mobile application and related services (collectively, the "Service").

By creating an account or using SmartPrep, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use our Service.

1. Information We Collect

1.1 Parent / Guardian Account Information

When you register and use SmartPrep, we collect the following information about the parent or guardian:

  • Full name
  • Email address
  • Phone number (with country code)
  • City
  • Preferred language
  • Profile avatar/photo
  • Authentication identifiers — Google ID or Apple ID (when signing in via social login)
  • Account verification status (phone and email verification timestamps)

1.2 Child Profile Information

Parents create child profiles within SmartPrep. For each child, we collect:

  • Child's name
  • Age
  • Avatar or emoji
  • Class level / grade
  • Education board (e.g., CBSE, ICSE, State Board)
  • Medium of instruction language

We do not collect government-issued identification numbers, biometric data, or precise geolocation data of children.

1.3 Educational Content & Activity Data

To provide a personalized learning experience, we collect:

  • Uploaded documents — question papers, worksheets, and study materials you upload for processing
  • Questions and answers — extracted from uploaded papers
  • Paper attempts and scores — results of practice tests taken by the child
  • Saved questions — questions bookmarked for later revision
  • Topic progress — chapter-wise and topic-wise completion tracking
  • Notes — study notes created within the app

1.4 AI Chat & Interaction Data

SmartPrep uses AI-powered tutoring assistants. When you or your child uses the chat feature, we collect:

  • Chat session metadata — session title, associated chapter/topic, and timestamps
  • Chat messages — the text of questions asked and responses received

This data is used to provide contextual learning support and improve the quality of AI responses.

1.5 Device & Technical Information

We automatically collect certain technical information:

  • Device identifier
  • Platform (Android / iOS)
  • App version
  • Push notification tokens (FCM / APNs)
  • Last login timestamp

1.6 Subscription & Payment Information

If you subscribe to a paid plan, we store:

  • Subscription plan details (plan type, start/end dates, status)
  • Payment gateway reference (transaction ID from the payment provider)

We do not store credit card numbers, bank account details, or other sensitive financial information directly. All payment processing is handled by third-party payment gateways.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the Service — creating accounts, managing child profiles, processing uploaded papers, generating practice tests, and delivering AI-powered tutoring
  • Personalization — tailoring content to your child's grade, board, medium, and learning progress
  • Communication — sending push notifications about learning milestones, app updates, and important account information
  • AI Processing — using uploaded documents and chat conversations to generate educational questions, provide explanations, and track learning progress
  • Analytics & Improvement — understanding how users interact with our Service to improve features and user experience
  • Security — protecting against unauthorized access, fraud, and other harmful activities
  • Legal Compliance — complying with applicable laws, regulations, and legal processes

3. Third-Party Services & AI Providers

SmartPrep integrates with the following categories of third-party services:

  • AI Service Providers — We use AI APIs (such as Google Gemini, Anthropic Claude, and OpenAI) to process educational content and power the tutoring chat. Uploaded documents and chat messages may be sent to these providers for processing. These providers have their own privacy policies governing data handling.
  • Authentication Providers — Google Sign-In and Apple Sign-In for secure social authentication
  • Push Notification Services — Firebase Cloud Messaging (FCM) and Apple Push Notification service (APNs) for delivering notifications
  • Payment Gateways — Third-party payment processors for handling subscription payments

We share only the minimum data necessary for these services to function. We do not sell your personal information to any third party.

4. Data Storage & Security

  • Your data is stored on secure servers with industry-standard encryption and access controls.
  • Passwords are hashed using strong cryptographic algorithms (bcrypt) and are never stored in plain text.
  • We implement access controls to ensure only authorized personnel can access user data.
  • Uploaded files are stored securely and are accessible only to the account holder.
  • We conduct regular security assessments to identify and address vulnerabilities.

5. Children's Privacy

SmartPrep is designed for use by parents/guardians on behalf of their children. We take the privacy of children very seriously.

  • Child accounts are created and managed exclusively by the parent/guardian.
  • We do not allow children to create accounts independently.
  • We collect only the minimum information necessary to provide educational services (name, age, grade, and board).
  • We do not collect sensitive personal information from children such as government IDs, biometric data, or precise location.
  • We do not display advertisements targeted at children.
  • We do not knowingly collect personal information from children under 13 without verifiable parental consent.

If you believe we have inadvertently collected information from a child without proper parental consent, please contact us immediately so we can delete such information.

6. Data Retention

  • Active accounts: We retain your data for as long as your account is active and as needed to provide the Service.
  • Deleted accounts: When you delete your account, we anonymize your personal identifiers (email, phone number, social login IDs) and soft-delete your data. Anonymized data may be retained for analytics purposes.
  • Uploaded content: Uploaded documents and generated educational content are retained while your account is active and deleted upon account removal.
  • Chat history: AI chat sessions are retained to provide continuity in the learning experience and are deleted when the associated account is removed.
  • Legal requirements: We may retain certain data for longer periods if required by applicable law or regulation.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you
  • Correction — Request correction of inaccurate or incomplete data
  • Deletion — Request deletion of your account and associated data
  • Data Portability — Request your data in a structured, commonly used format
  • Withdraw Consent — Withdraw consent for data processing where consent is the legal basis
  • Opt-out of Notifications — Manage or disable push notifications through your device settings

8. OTP & Verification

We use One-Time Passwords (OTPs) sent via SMS or email for phone and email verification. OTP codes are temporary and are automatically invalidated after use or expiration. We do not store OTP codes beyond their validity period.

9. Push Notifications

We send push notifications to keep you informed about your child's learning progress, app updates, and important account information. You can manage notification preferences through your device settings at any time. Push notification tokens are stored securely and are associated with your device, not with personal identity data.

10. Activity Logging

We maintain activity logs for security and auditing purposes. These logs may include information about account changes, login events, and administrative actions. Activity logs are used solely for security monitoring and are not shared with third parties except as required by law.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify you of any material changes by:

  • Posting the updated policy within the app
  • Updating the "Last Updated" date at the top of this policy
  • Sending a push notification for significant changes
